How do I use the Mass Mailer feature?

MassMailer allows you to send dozens to hundreds of transactions at once with just a click. How do you get started?

If enabled for your account, the MassMailer feature can be access from the Signer tab after you've created a new transaction, as discussed below. As of late February 2024, with Release 173, a new tab in the Dashboard titled Mass Mailer also allows you to see all of the Mass Mailers you send as well as access a custom transaction start button that skips step 3 below.

Instructions

  1. Create a MassMailer-compliant CSV file, see this article for instructions on creating the file.
  2. Log into your Document Center / Dashboard and create a new transaction.
  3. Close the Add Party box.
  4. Choose the Mass Mailer button, and click Start.

    1. At the Import screen, tap Browse to locate the CSV file mentioned in Step 1 and click open.
    2. SIGNiX will verify if the CSV is formatted correctly and provide you with specific information if it is not. Follow the prompts to make edits, if needed, before you upload a new CSV file.
    3. If there are no issues with the CSV, the screen will update to reflect all of the transactions. You can review these, if necessary.
    4. Continue by clicking on the Add Documents tab and upload one or more PDF documents for each of the recipients to review, fill and sign, just like you would in a typical transaction. When you’re finished uploading, click the Add Signatures tab.
    5. The tool palette will show you ‘placeholder’ users depending on how many users your transactions include.
    6. Drag-and-drop signature, initials, and other fields for each placeholder user just like you would in a typical transaction. When you’re finished, tap the Send tab.
    7. At the Send tab, you can customize the email message that gets sent to each participant alongside the link to their documents.  When you’re ready, click Send All to start the Mass Mailer process. A confirmation dialog will appear to ask if you’re sure. Click Yes. Depending on where you started the Mass Mailer, you'll also be prompted to include a name for the mailing so that you can review it later.
    8.  You can monitor the sending process on the screen, or return to your Document Center / Dashboard Home to see the progress of transactions being sent.

    Note that templates and unstarted transactions can be used to store aspects of a Mass Mailer.

    Checking on Status of a Mailer

    New in Release 173 (late February 2024) is the ability to see the status of a Mailer once it has been sent. Prior to this release, individual transactions were created from the Mass Mailer, but users didn't have a way to see how many transactions out of a MassMailer were completed / in-progress, etc., nor any way to download a report about the MassMailer.

    Now, in the Dashboard, you have access to the MassMailer tab, which will show all MassMailers sent since late February 2024, as well as their status.

    Clicking on a MassMailer title brings up a summary dialog with more detail about the MassMailer, allowing you to download the CSV that was used in the mailer, a clickable list of all transactions created from the mailer, and the ability to download a report on the MassMailer: a CSV file mirroring the columns sent in the initial CSV, but with additional info regarding fields filled out by signers, etc.
