State RON Registration - Virginia

For notaries in the state of Virginia who would like to apply to become Remote Online Notaries, we can help you with this process.

Requirements:

  • Review the details on the state website: https://www.commonwealth.virginia.gov/official-documents/notary-commissions/enotary/
  • You must already be a traditional notary first.
  • Sign up with a RON vendor, like SIGNiX
  • Purchase a Digital Notary Seal image from a third party vendor that meets the state's requirements:
    • the electronic notary’s name (as shown on the notary’s commission)
    • the electronic notary’s registration number
    • the words “Electronic Notary Public”
    • the words “Commonwealth of Virginia”
    • the electronic notary’s commission expiration date

What is required to enter during the application?

You will need to provide your own notary information, and then some information about SIGniX as your RON vendor. The information is listed for you below.

You will need to sign and stamp the state's provided document in your SIGniX account and then upload that completed document into the state's website as part of the application process online.

The state's website, after login, should provide you the ability to download the document they want you to use for this process. The document should already be tagged for signature, so when you upload it into a new transaction in your SIGNiX account, it should ask you to assign the signature field to yourself - do assign it to you, yes that is correct.

Complete the transaction and download the signed document to your computer - consider renaming it so you can tell it apart from the unsigned original to avoid confusion.

When you are filling out the state application, answer "yes" to all questions regarding the Digital Certificate.

When asked for certificate detail, please provide the following info:

  • Certificate Authority Name: GlobalSign
  • Certificate Authority Website: www.globalsign.com
  • Briefly describe how you will use the electronic notary technology and provide the manufacturer’s name for the solution: SIGNiX, Inc. eNotaryDoX – used for in-person as well as remote online notarization.
  • Certificate Start: 06/29/2026
  • Certificate End: 06/30/2027

What happens after the application is submitted?

The state of Virginia will contact you about your approval. If there was any issue found within the application, they will email you to correct it and resubmit directly, so you do not have to pay them again.
