State RON Registration - Tennessee

For notaries in the state of Tennessee who would like to apply to become Remote Online Notaries, we can help you with this process.

Requirements:

  • Review the details on the state website: https://sos.tn.gov/businesses/guides/how-to-become-an-online-notary-public
  • You must already be a traditional notary first.
  • You must then complete a Course of instruction concerning online notarization, pass an exam, received a Certificate which you will submit with your registration.
  • Sign up with a RON vendor, like SIGNiX
  • Purchase a Digital Notary Seal image from a third party vendor that meets the state's requirements of being circular, square, or rectangular with the following:
    • the notary’s name (as shown on the commission) at the top
    • the county of election at the bottom
    • The words "State of Tennessee Notary Public" or "Tennessee Notary Public" in the center
    • the words “Online Notary Public” found below the seal
    • the notary’s commission expiration date also below the seal
    • We recommend the company eNotary Supplies, and enter code "signix" at checkout to save $5 off the purchase of your digital seal image.

  • Login to the state's website to begin the application process: https://tncab.tnsos.gov/

What is required to enter during the application?

You will need to provide your own notary information, and then some information about SIGNiX as your RON vendor. The information is listed for you below.

You will need to sign and stamp an example document in your SIGNiX account through a new transaction, and then upload that completed document into the state's website as part of the application process online. Consider renaming it so you can tell it apart from the unsigned original to avoid confusion.

Here is an example document you can click on to download: SIGNiX Exemplar

Need help with creating and completing a SIGNiX transaction?

Please contact your Success Manager to discuss getting signed up for training, as this will be covered in onboarding and general training videos for all notaries.

Here are questions and answers for your application process.

  • The name of your vendor and a description of the technologies it uses to provide the services:

    •  Company Name: SIGNiX, Inc.
    •  Product Name: eNotaryDoX
    • Description of technology: eNotaryDoX not only uses standards-based digital signatures that protect the document from tampering, but it also offers a highly detailed record of the signature and notary process itself. In addition, SIGNiX enables strong, multi-factor authentication options like Knowledge-Based Authentication with ID Scan to positively verify the identity of the signers and their credentials.
  • An explanation of the method or technology you will use to maintain an electronic notary journal:
    • You must be able to explain to the state how you plan on maintaining those records yourself as the notary.
    • SIGNiX facilitates the creation of electronic journal entries with every notarization done through our software. It is the responsibility of the notary to download and save those journal entries in accordance with Tennessee laws.
  • A copy of your unique electronic seal.
    • The notary must have an image of their seal to use for RON purposes, which follows state rules, saved to their computer in order to upload it into the application on the state's website.
  • A copy of your unique electronic notarial certificate that includes your electronic signature or other technology for rendering a notarized electronic document tamper-evident.
    • All documents notarized through the SIGNiX software come with a tamper evident seal applied by our technology.
    • As explained above, you will create a new transaction in your account with us, using an example document, then you can provide that completed document to the state as it will contain the electronic notarial certificate.
  • A copy of the instructions or techniques supplied by the vendor allowing the online notary public’s electronic notarial certificate to be read and authenticated.
  • A copy of the instructions or techniques supplied by the vendor allowing the online notary public to conduct identity proofing and credential analysis.
