State RON Registration - New York

For notaries in the state of New York who would like to apply to become Remote Online Notaries, we can help you with this process.

Requirements:

  • Review the details on the state website: https://dos.ny.gov/notary-public-frequently-asked-questions
  • You must already be a traditional notary first.
  • Sign up with a RON vendor, like SIGNiX
  • Purchase a Digital Notary Seal image from a third party vendor that meets the state's requirements:
    • the electronic notary’s name (as shown on the notary’s commission)
    • the electronic notary’s registration number
    • the words “Electronic Notary Public”
    • the words “Commonwealth of Virginia”
    • the electronic notary’s commission expiration date
  • We recommend the company eNotary Supplies, and enter code "signix" at checkout to save $5 off the purchase of your digital seal image.
  • Login to the state's website to begin the application process: https://www.businessexpress.ny.gov/
    • Click on "Search Applications" and search for "Notary"
    • Sign in or create an account on the state website
    • Click on the option to Apply for an Electronic Notary Public commission
    • Follow the on screen steps to find your record and proceed

What is required to enter during the application?

You will need to provide your own notary information, and then note SIGNiX as your remote online vendor.

The state website may direct you to download and complete an Oath of Office document.

You will need to write your signature in ink on a piece of paper, then take a picture of it to save onto your computer. The state wants a digital representation of your regular signature, not a typed font signature, so you will need to change this inside SIGNiX with the picture. We recommend cropping the picture down to just the signature, not the paper around it, and saving it as an image file type - JPG or PNG.

You will need to sign and stamp an Exemplar document in your SIGNiX account and then upload that completed document into the state's website as part of the application process online.

During login to sign the document, you will need to update your digital signature and upload the picture that you took. Here are instructions: Update Signature Appearance

Complete the transaction and download the signed document to your computer - consider renaming it so you can tell it apart from the unsigned original to avoid confusion.

What happens after the application is submitted?

 You may track the status of your application by logging in to your NY Business Express account. Click on “My Dashboard” to view your application status.

The state of New York will contact you about your approval. If there was any issue found within the application, they will email you to correct it and resubmit directly, so you do not have to pay them again.
